Find your way around
- Your files fill the main screen. At the top level, the title is your workspace’s name: tap it to switch workspaces.
- The sidebar opens from the button at the top left. It has your Account, Subscription, Usage, Members (team workspaces), Workflows, Integrations, Agent, Approvals, Notifications and Appearance, plus Send feedback.
- The agent is one swipe away. Swipe left from your files, or tap the message bar at the bottom.
Browse and manage files
- Open a folder or file: tap it. Tap the back arrow to go up, or tap the folder’s name at the top to jump anywhere on its path.
- View and sort: tap the ••• button at the top. Choose List or Grid, and sort by Name, Recent, Date Created or Size. Folders always come first.
- Search: tap the search button. Search looks through file and folder names across the whole workspace, not just the folder you’re in.
- Refresh: pull down on the list.
With several items selected, use Download, Export or Delete in the bar at the bottom, and Done to stop selecting.
Rename and Delete only appear for owners, admins and members. To move, copy or create folders on your phone, ask the agent, for example “Move these receipts into /Expenses/2025.”
When you open a file, tap Share at the top to send a copy or open it in another app through your phone’s share sheet. This sends a copy of the file. To give someone access in The Drive AI, share it on the web.
Upload files
1
Open the folder
Go to the folder you want the files in.
2
Tap +
Tap the + button at the bottom right. Your phone’s file picker opens.
3
Pick the files
Choose one or more files. They upload to the folder you have open.
- On the Free plan, the picker only offers documents: PDF, Word, Excel, PowerPoint, text, CSV and Markdown files. Images, audio and video need Premium or above.
- Limits on files per upload, uploads per hour and files per workspace are the same as on the web. See Uploading files.
- To add files from a connected drive, tap ••• and choose Import from cloud.
- Owners, admins and members see +. Viewers don’t.
Scan documents
Tap the scan button, just above +, to scan paper documents into a PDF in the folder you have open. You can also scan straight into an agent chat. See Document scanning. The agent on your phone
The agent on your phone is the same one as on the web, with the same limits and permissions. See The agent.Start a conversation
1
Open the agent
Swipe left from your files, or tap the message bar. The first time, the app asks you to agree to your messages and files being processed by AI providers. Tap Agree & Continue.
2
Check what it's working on
Like on the web, the agent works on the folder you were in. A chip above the message box shows it. To point the agent at one file or folder, press and hold it in your files and choose Ask the assistant.
3
Ask
Type your request, or press and hold the microphone (Hold to speak) to dictate it.
- Conversations: tap the conversations button at the top of the chat to see past ones, or the new conversation button to start again.
- Attach files: tap + next to the message box and choose Scan, Photos or Files. You can attach up to 10 files to a message, each up to 25 MB. Attachments stay with the conversation and aren’t saved to a folder unless you ask.
Cards: approving, undoing and getting files
The agent’s cards work as they do on the web. See Approving and undoing.- A proposed change shows what will happen. Tap Apply (it shows the number of changes) to make the change, or Not now to skip it. A large change asks you to tap again to confirm. After it’s applied, tap Undo to reverse it, or See what changed for the full list.
- A request for permission, for example to share a file or run a long task, has Allow and Not now.
- A file the agent makes shows a preview. Tap it to open it, use the share button to send it or save it to your phone, or tap Save to a folder. For several files, use Share all or Save all to a folder.
- A chart or diagram can be tapped to interact with it, opened full screen, shared, or saved to a folder. See Charts and diagrams.
Build workflows
Ask the agent to build a workflow, for example “When an invoice arrives by email, save it to /Invoices by vendor.” It shows a Workflow draft card:- View opens the workflow’s steps, read-only.
- Save saves it and switches it on, after you confirm. It starts running on new files straight away. Saving changes to an existing workflow keeps it on or off as it was.
- Adjust on the web opens it in the web app’s editor, where you can change the steps.
Workflows and approvals
Open the sidebar and tap Workflows:- Workflows lists your workspace’s workflows. Tap one to see its steps. To change it, tap Ask to change and tell the agent what should be different, or tap Edit on web.
- Activity shows what your workflows have done, file by file.
- Build a workflow opens the agent so you can describe a new one. Owners and admins only.
Notifications
Open the sidebar, tap Notifications, then tap the alert settings button to choose what reaches your lock screen:- Turn on notifications appears while your phone isn’t allowing them. Tap it to allow them.
- Assistant: Everything (approvals, questions and finished tasks), Only when it needs me (approvals and questions), or Off.
- Also buzz for: Workspace activity (mentions, invitations, approvals and requests) and Product news.
- Email me about: Missed activity (twice a day, what you didn’t see) and Product news. These email settings apply to your account on every device. Emails that unblock a workflow, like an approval request, are always sent.
Settings on your phone
- Agent shows the same settings as Settings > Agent on the web. Anyone can see What it can reach and add or remove their own notes under What it remembers. Owners and admins can also change how the agent behaves, its limits and approvals, and whether it saves the files it makes. Adding shared drives is done on the web. See Agent settings and Memory and instructions.
- Usage shows Storage, Assistant tasks this month and Files organized this month. See Usage and limits.
- Subscription shows your plan. You can buy a plan for your personal workspace in the app, through the App Store or Google Play. A team workspace’s plan is shown here and changed on the web.
- Integrations lists the accounts connected to the workspace, on plans that include them.
- Members lists the people in a team workspace. Owners, admins and members can see it.
