How It Works

Automatic Import

Once connected, The Drive AI monitors your inbox for new attachments:
  1. New email arrives with an attachment
  2. The Drive AI detects the attachment
  3. Attachment is imported to your workspace
  4. AI organizes the file into the appropriate folder
All of this happens automatically—you don’t need to do anything.

What Gets Imported

By default, The Drive AI imports common document types:
  • Documents: PDF, DOCX, DOC, TXT
  • Spreadsheets: XLSX, XLS, CSV
  • Presentations: PPTX, PPT
  • Images: Images are not imported.

Organization

Imported attachments are organized based on:

Configuration Options

Blocking Email Addresses and Domains

You can block attachments from specific senders or entire domains to prevent unwanted files from being imported. Blocking can be configured at two levels: Integration Level Block senders for a specific email integration (Gmail or Outlook):
  1. Go to Settings > Email Integrations
  2. Select the integration you want to configure
  3. Click Blocked Senders
  4. Add email addresses (e.g., spam@example.com) or domains (e.g., @marketing.com)
Workspace Level Block senders across all email integrations in your workspace:
  1. Go to Settings > Workspace > Email Blocklist
  2. Add email addresses or domains to the block list
  3. These rules apply to all connected email accounts
Use domain blocking (e.g., @newsletters.com) to block all emails from a specific domain at once.

Import Frequency

The Drive AI imports files real-time.

Fetching Past Email Attachments

You can import historical email attachments from both Gmail and Outlook. This allows you to bring in attachments from emails received before you connected The Drive AI.
1

Navigate to Email Settings

Go to Settings > Email Integrations and select the connected account.
2

Select Import History

Click Import History or Fetch Past Attachments.
3

Choose Date Range

Select the time period for historical import:
  • Last 30 days
  • Last 90 days
4

Start Import

Click Start Import to begin fetching historical attachments. The import runs in the background.
Historical import may take some time depending on the number of emails and attachments in the selected date range.

Activity History

Track all email attachment activity in your workspace with the Activity History feature. This gives you complete visibility into what files are being imported and their status.

Viewing Activity History

  1. Go to Settings > Email Integrations
  2. Click Activity History or View Activity

Activity Statuses

Each imported attachment shows one of the following statuses:
StatusDescription
UploadedFile was successfully imported to your workspace
SkippedFile was skipped based on your filter settings (blocked sender, excluded file type, etc.)
DuplicateFile was already imported previously and skipped to avoid duplicates
UnsupportedFile type is not supported for import

Activity Details

For each activity entry, you can see:
  • File name and type
  • Sender email address
  • Email subject
  • Date and time of activity
  • Status and any relevant notes
Use the Activity History to troubleshoot import issues and understand why certain attachments may not have been imported.

Email Metadata

Imported attachments retain metadata about their source:
  • Sender email address
  • Email subject
  • Date received
  • Original filename

Managing Your Email Connection

Disconnecting

To completely disconnect your email:
  1. Go to Settings > Integrations > Email
  2. Click Disconnect next to the email account
  3. Confirm the disconnection
Disconnecting does not delete already-imported attachments. It only stops future imports.
